01 / The problem
What was getting in the way
Important work at White Fox often starts in one system and must be finished by another team. A sold job may begin with Sales, move to Customer Service, and then require follow-up from a manager.
Messages and separate task lists could alert someone, but they did not give us one reliable answer to basic questions: Who owns this? Is it done? What created it? What happens if it fails?
When work disappears between teams, customers can be let down, revenue follow-up can stall, and employees can miss the next step they need.
02 / Our approach
The decisions we made first
My roleI chose the workflows that needed stronger ownership and set the business rules. We turned those rules into one practical system for assigning, completing, and reviewing important work.
Keep one official task record
We made Action Hub the official record of who owns the work and whether it is complete. Messages can get attention, but they do not replace the task.
Create tasks from real events
We create tasks from a specific business event, such as a sold job or required review. Each task stays tied to the event that created it.
Send work to the right role
We route each task to the team responsible for the outcome. We also define who takes over or reviews it when the normal owner is unavailable.
Plan for failures and retries
We added checks that show missing, duplicate, or failed work. Repairs can be reviewed before they run, and safe retries do not create the same task twice.

How the solution came together
One way to create important tasks
We built one shared path that applies the right task format, chooses an owner, links the source event, and reuses an open task when the event is retried.
A clear history of what happened
We record when a task is created, assigned, completed, escalated, or failed. An operator can review the history without piecing together old messages.
Focused queues for each team
We give Sales, Customer Service, managers, hiring, and administrators focused views of the work that belongs to them.
Checks that catch hidden gaps
We check for failed task creation, duplicate open work, missing tasks, and stalled background jobs before treating a workflow as healthy.
